Your questions answered: In addition to our submission guidelines, we have provided some helpful FAQs below to help answer the most common submission queries.

Submitting your abstract

Yes - we welcome work that has been presented at, or submitted to, a maximum of two other international meetings. However, we cannot accept work that has been accepted and presented at a previous RCOG World Congress.

There is no limit to the number of national meetings that the work can been submitted to. For example, you can enter the RCOG National Trainees Conference, Annual Academic Meeting and still submit to the RCOG World Congress.

Authors must please indicate if work has previously been presented both during submission, by ticking a box on the submission site, and on their final presentation.

Please note: All meetings have their own rules regarding abstract submission which may not be in line with ours.

The extended abstract submission deadline was 09:00 UK time on Monday 13 February 2023.

All abstracts must be in English.

No, we will only accept submissions from unpublished work. However, if the paper is published following acceptance and published prior to presentation at Congress, we would ask you to declare this at the time of presentation.

  • The full title of your submission (max 12 words)
  • Your abstract or case report (max 400 words). For an abstract, you should include the format: objectives, design, method, results and conclusions. For a case report, you should include the format: objective, case study, discussion and conclusion. Permission from all authors, and any patients, to submit the abstract
  • Names of all authors
  • Affiliations of all authors
  • Name and main email address of the lead presenting author
  • Subject category which best describes your submission
  • Whether you would like your abstract published in BJOG (if it is eligible and accepted for presentation)

Yes, you can but please avoid salami submission with generation of several abstracts from the same study.

No, at this stage all we need is the written abstract. If your work is selected, you can include a video in your final presentation/poster.

The allocation of oral presentations is decided by the Scientific Committee and based on abstract scores. If you tick the box and opt for an oral presentation, you will be considered but may be offered a poster presentation instead.

No. Judging and allocation of the abstracts takes place through our online system, so only abstracts submitted online will be accepted.

There is no charge for submitting an abstract, however all successful presenting authors will need to register to attend the Congress in order to present. If your abstract is accepted as a poster for inclusion within the programme, there will be a nominal fee per poster to be included at Congress. The fee covers part of the costs of providing the posters, but it does not cover the whole cost. Full instructions on poster submission are provided upon acceptance.

Making changes to your abstract

Yes, you can amend your submission any time up until the submission deadline by logging back into the online system.

Once the submission deadline has passed no further amendments to your abstract are possible, even if you are selected to present. Please take the time to ensure that all the information in your submission is correct and how you would want it to appear published.

If you wish to withdraw an abstract, please contact the Congress secretariat and confirm the withdrawal in writing by email to . Please provide as much notice as possible. If your abstract is included in the BJOG supplement, then we may not be able to withdraw it if the amendment deadline has passed.

Judging

Unfortunately, due to the high number of abstracts we receive it is not possible for us to provide individual feedback on abstract submissions.

Selected presenting authors will be notified by Friday 24 March 2023.

Presenting your abstract

There are slots available for either poster or oral presentation and both can accommodate videos. Each accepted submission will be offered either a poster OR oral presentation. The allocation of oral presentations is decided by the Scientific Committee and based on the abstract scores.

At least one of the authors must be registered for the full Congress to present the abstract.

We recommend that the lead author submitting the abstract is the main author and presenter at Congress. However, any of the other authors named on the abstract can present if the main author is unable to attend. If your colleague is not a named author on the original submission, they cannot present.

In order for your work to be presented at the Congress at least one of the authors must have a full Congress registration.

Yes, if you tick only poster presentation you won’t be considered for an oral presentation.

Should your abstract be accepted as a poster for inclusion within the programme, there will be a nominal fee per poster to be included at Congress. Publication of abstracts in BJOG

Yes, the BJOG supplement only includes abstracts presented at the Congress so at least one of the authors named on the abstract needs to be registered to attend. You will need to register by a certain date to be included and further information will be sent to the successful author(s).

Yes, there is an option to opt out during the submission process.

No, we will only accept full standard abstract submissions for inclusion in BJOG as they contain.

All authors will be asked to undertake that:

  • Their name is NOT currently removed from a medical register nor do they have any restrictions placed against their name by a medical regulator in any country.
  • Presenting authors will inform the RCOG if, before the Congress, their name is removed from a medical register or they have any restrictions placed against their name by a medical regulator in any country. The RCOG reserves the right to withdraw presentations in such cases

Abstract authors must also register for Congress

Submitting an abstract does not automatically register you as a Congress delegate.

Authors must register by the original early bird deadline (24 April 2023).

If the named abstract presenter has not registered for the Congress by 24 April 2023, the abstract will be withdrawn.
