Abstract FAQs

In addition to our submission guidelines, the following is intended to help answer common queries to do with abstract submission.

Submitting your abstract

Can I present work that has been submitted to another event?

We don’t accept work that has been submitted to an RCOG World Congress before but can submit work that have been presented or submitted to other meetings but only if it has not already been presented at two or more international congresses or meetings. For instance we are happy to accept work already submitted to the IUGA Annual Meeting or the ESHRE Annual Meeting.

There is no limit to the number of national meetings that the work has been submitted to. For instance, you can submit to the RCOG National Trainees Conference, RCOG Annual Academic Meeting and still submit to the RCOG World Congress.

Authors must indicate if work has previously been presented both at the point of submission by ticking a box on the submission site and on their final presentation.

Please note that other meetings all have their own rules regarding submission which may not be in line with ours.

 

What information do I need to submit?

  • The full title of your submission (max 12 words)
  • Your abstract (max 400 words and minimum 250 words). Please see the submission guidelines for more information on the format
  • Permission from all authors, and any patients, to submit the abstract
  • Names of all authors
  • Affiliations of all authors
  • Name and main email address of the presenting author
  • Subject category which best describes your submission
  • Whether you would agree for abstract published in BJOG if it is eligible and accepted for presentation

 

What is the deadline for submitting an abstract?

Submissions close on Tuesday 15th October 2019 at 23.59 GMT

 

What language can I submit an abstract in?

Abstracts must be submitted in English

 

Can I submit more than one abstract?

Yes you can but please avoid salami submission with generation of several abstracts from the same study

 

I would like to submit a video for presentation; do I need to submit a video with my abstract?

No, at this stage all we need from you is the abstract.

 

If I tick the box to say I want an oral presentation does that mean I will be given an oral presentation if my abstract accepted?

The allocation of oral presentations is decided by the scientific committee and based on the scores of the abstracts. If you tick the box and opt for an oral presentation, you will be considered but may be offered an e-poster presentation instead.

 

Can I submit an abstract by post, fax or email?

No, abstracts submitted by fax, email or paper copy will not be considered. The judging and allocation of the abstracts takes place through our online system so only abstracts submitted online will be accepted.

 

Making changes to your abstract

Can I make amendments to my abstract after as I have submitted it?

Yes you can amend your submission any time up until the submission deadline by logging back into the online system.

 

Can I make changes to my abstract if it is accepted?

Once the submission deadline has passed then no further amendments to your abstract are possible, even if you are selected to present. Please take the time to ensure that all the information in your abstract is correct and how you would want it to appear published.

 

Can I add additional authors?

Yes you can amend your submission any time up until the submission deadline by logging back into the online system. Once the deadline has passed though, you will not be able to make any changes including adding authors.

 

When are changed allowed until?

Once the submission deadline has passed then no further amendments to your abstract are possible. Please take the time to ensure that all the information in your abstract is correct and how you would want it to appear published.

 

Can I cancel a submission?

If you wish to withdraw an abstract please contact the Conference Secretariat and confirm the withdrawal in writing by email or fax. Please give us as much notice as possible, if your abstract is included in BJOG then we may not be able to withdraw it if our deadlines to make amendments have been passed.

 

Judging

Will I receive individual feedback on my abstract?

Unfortunately due to the high number of abstracts we receive, it is not possible for us to provide feedback on stages for each abstract.

 

When will I find out if my abstract has been accepted?

Selected presenting authors will be notified if their submission has been accepted by 20 December 2019.

 

Presenting your abstract

What types of presentations are available?

There are slots available for either E-Poster Presentation or Oral Presentation and both of these can accommodate videos. Each submission will be offered either an E-Poster OR Oral Presentation. The allocation of Oral Presentations is decided by the scientific committee and based on the scores of the abstracts.

 

I am unsure whether I can attend the congress, do I need to be registered to present?

Yes, at least one of the authors needs to register for the full congress to present the abstract.

 

I have a paper poster of my abstract which I prepared previously, can I use this again to present at the congress?

Although you can submit work previously accepted (see question above), the posters for the RCOG World Congress are all electronic so no hard copies will be on display. You will need to prepare your poster using the special software provided, although this is designed to take as little as 10 minutes.

 

Can my colleague present my work instead of me if my abstract is accepted?

We recommend that the person submitting the abstract is the main author who will be presenting at the conference. However, any of the other authors named on the abstract can present if the main author is unable to attend. If your colleague is not a named author though that cannot present.

 

I can only attend for one day, can I still present my work?

In order for your work to be presented at the Congress at least one of the authors must be registered on each day, so if you can only register for one day then one of your co-authors will need to register for the remaining two days.

 

I would like to present my work but don’t want to give an oral presentation, is this possible?

Yes, if you select poster presentation you won’t be considered for an oral presentation.

 

Why do e-posters have to pay an additional fee to present their work?

Authors are required to pay a fee for the e-poster service per submission via the e-poster submission site to help cover the costs of providing the service. This fee does not cover all the costs and is subsidised by the Congress fee. You will not have to pay to print or transport your poster though. Full instruction will be given upon acceptance.

 

Publication of abstracts in BJOG

My abstracts was one of the top 500 scoring, do I need to present it at the congress for it to be included in the BJOG supplement?

Yes, the BJOG Supplement only includes abstracts presented at the congress so at least one of the authors named on the abstract needs to be registered to attend. You will need to register by a certain date to be included and further information will be send to successful authors.

 

Can I make amendments to my abstract before it is published?

Once the abstract submission deadline has passed then no further amendments to your abstract are possible, even if you are selected to present. Please take the time to ensure that all the information in your abstract is correct and how you would want it to appear published.

 

Can I opt out of having my abstract published?

Yes there is an option to opt out during the submission process.
