RCOG aims to be the global leaders in obstetrics and gynaecology education, delivering world-class, inclusive and impactful events and courses that support clinicians at every stage of their career and enhancing women’s health worldwide.

To support the work of the recently commissioned Events Board, RCOG are recruiting four new Director and Lead Convenors. These will be senior advisory positions on this board, with a specific mandate to support the redevelopment of existing RCOG courses as well as manage the introduction of new events into the portfolio.    

The roles are: 

  • Director and Lead Convenor of Revision Courses
  • Director and Lead Convenor of Surgical Training Courses
  • Director and Lead Convenor of Leadership and Management Courses
  • Director and Lead Convenor of Lecture-Based Courses

Role description

The Events Board is responsible for the strategic oversight, governance and direction for the College’s full events and courses portfolio. The board ensures that all RCOG courses are strategically aligned, educationally robust, operationally deliverable and financially sustainable. 

To support this work, Directors and Lead Convenors would be assigned a portfolio of RCOG courses. The post-holder will own the strategic oversight and quality assurance of the courses in their portfolio. This includes identifying areas of improvement and working with course convenors and the course development and delivery team to redevelop courses where appropriate. 

This is a fantastic opportunity to use your knowledge and experience to shape valuable learning opportunities to the O&G community. 

Main responsibilities

Lead convenors will: 

  • Ensure all courses within their portfolio align with wider RCOG strategic objectives and educational priorities. 
  • Advise on emerging clinical, professional, workforce and global health needs to inform future programming. 
  • Work closely with the Vice President responsible for events, the Honorary and Deputy Honorary Director of Events 
  • Support Course Convenors to implement a cyclical review of courses to improve and maintain strategic alignment, educational robustness, operational efficiency and financial sustainability. 
  • Ensure alignment with RCOG curriculum, SITMs and SIPMs. 
  • Review post-event feedback and to evaluate success and recommend any adjustments for future iterations.  
  • Alongside Events Board colleagues, review new course proposals and provide guidance and strategic recommendations on alignment, educational value, financial sustainability and organisational capacity. 
  • Undertake any other duties relevant to the scope of the role in line with the Events Board strategic objectives to ensure the overall success of RCOG courses.

Time commitment

This is a senior role with significant strategic and governance responsibility within the College. Accordingly, the time commitment required will be around 1-2 days per month plus preparation and attendance at quarterly board meetings. Flexibility is essential to accommodate these sessions alongside other College commitments. Lead Convenors will serve an initial term of three years. 

What support will you receive?

Lead Convenors will be given an induction to ensure they are fully briefed on their role and have access to all relevant event information. RCOG events staff will provide ongoing strategic, learning design, event management and administrative support. 

You will receive:

  • A dedicated point of contact within the RCOG events team for day-to-day queries and wider support. 

Person specification

You should be passionate about medical education and committed to supporting learners and trainees. You should be empathetic, tactful and able to deal with sensitive and confidential issues as well as strong organisational and administrative skills.

You will need: 

  • to hold an FRCOG qualification
  • to be based in the UK
  • a deep understanding of the RCOG training curriculum
  • knowledge and recent first-hand experience of the challenges faced by RCOG trainees
  • to demonstrate a strong understanding of governance best practice
  • a commitment to diversity, equity, and inclusion in practice and evidence of relevant training within the previous three years

Ideally, you will also have: 

  • previous experience as an RCOG exam committee member; or 
  • experience in an RCOG events Organiser or Convenor experience; or 
  • held an educational supervisor role

Lead Convenors are expected to oversee multiple courses and contribute to decision-making on the future viability of existing and new courses. Therefore, it is a requirement of the role that an individual cannot hold the post of Convenor or Organiser while also serving as Lead Convenor.  

Evaluation of the role and succession planning 

This role description reflects the present requirements of the post as approved by the RCOG Events Board. The role will be subject to ongoing evaluation to ensure it continues to meet the requirements of the College.

Committee Chair/Member/Course Convenors and Organisers

If within your committee role or work as course convenor or organiser you gain knowledge which enhances patient care or leadership and technical skills (including, for example, giving presentations, teaching sessions or mock examining) credits can be claimed as an ‘Experiential Learning Event’.

CPD users can now freely select and record the number of credits for all their CPD activities. For Experiential Learning Events, a Reflection is required to claim the selected credits. In addition, 1 or 2 credits can be claimed for an action following the learning (1 credit for a simple action, 2 credits for a complex action). To claim credits for an action, the individual needs to demonstrate how they have applied their learning to their practice, the service they provide and/or the potential impact of the learning.

For those who prefer to follow RCOG recommendations, the CPD Framework still provides a suggested number of credits that can be claimed for different CPD activities.

Terms of reference

Authority 

The Events Board was established by, and reports to, Council. The board also reports to the Finance & General Purposes Committee on matters with financial and resource implications.  

Purpose 

The Events Board has executive and decision-making authority and will ratify the decisions of reporting Committees and Groups. It is responsible for the strategic oversight, governance and direction for the College’s full events and courses portfolio. The board ensures that the portfolio is strategically aligned, educationally robust, operationally deliverable and financially sustainable, in support of the College’s strategic objectives and charitable purpose. 

Duties/Responsibilities/Delegations 

The Events Board acts as the single forum responsible for shaping, prioritising and reviewing the College’s events programme, including workshops, meetings and the World Congress. The board has the following responsibilities: 

  • Approve the strategic direction and annual cycle of the College’s events portfolio: 
    • Setting and maintaining a coherent, needs-based and future-focused strategy for the College’s events portfolio. 
    • Ensuring all events align with the College’s three strategic objectives and educational priorities. 
    • Performing horizon scanning for emerging clinical, professional, workforce and global health needs to inform future programming. 
  • Approve, defer or decline new event proposals based on strategic alignment, educational value, financial sustainability and organisational capacity: 
    • Reviewing the full events portfolio to ensure relevance, impact, balance and sustainability. 
    • Approving progression of proposed events into the full programme. 
    • Prioritising events in line with strategic value, financial performance, and operational capacity. 
  • Provide financial and impact oversight on events and courses: 
    • Monitoring financial performance, risk exposure and contribution to the College’s sustainability. 
    • Reviewing agreed KPIs relating to attendance, delegate experience, educational impact, reach and commercial performance. 
    • Ensuring appropriate post-event evaluation and learning is embedded across the portfolio. 
  • Require information, analysis or assurance from executive staff, committees or event convenors as necessary to discharge its responsibilities: 
    • Holding overall responsibility for strategic oversight of quality assurance across the events portfolio. 
    • Working collaboratively with the Education Quality Assurance Committee (EQAC) to ensure educational standards and regulatory alignment are maintained. 
    • Ensuring duplication is avoided and governance responsibilities are clearly delineated 
  • Establish, amend and dissolve committees or working groups as required to support delivery of its remit, and provide ongoing strategic oversights of any such bodies to ensure clarity of purpose, appropriate delegation, and alignment with the College’s strategy. 

Make recommendations to Council where decisions fall outside its delegated authority

Secretariat/Governance 

The secretary of the board and will ensure that information and papers are received in a timely manner to enable full and proper consideration to be given to the issues. 

The secretary shall minute the proceedings and resolutions of all meetings, including the names of those present and in attendance. 

Draft minutes shall be circulated to all members of the board. 

Approved minutes will be circulated to Council. 

Quorum 

In order for the meeting to be quorate it is required that the Chair or a nominated deputy is in attendance, as well as a majority of Events Board members and two members of staff from the College. 

Meetings 

The Events Board meets at least four times a year. 

Notice of meetings 

The notice of each meeting is set up in the meeting schedule with location/time/date already agreed in advance. Meeting dates are scheduled, centrally, at least six months in advance. 

Reporting 

The Events Board shall report to Council from each meeting on the nature and content of its discussion, recommendations and action to be taken.  

Evaluation  

The Events Board shall at least annually, review its terms of reference to ensure it is operating at maximum effectiveness and recommend any changes it considers necessary to Council.
